Managing Customers

Learn how to add, organize, and manage your customer database in Quotejam.

Your customer database in Quotejam makes quoting faster. Instead of typing customer details every time, just select them from your list.

Adding Customers

To add a new customer:

  1. Navigate to Customers in the sidebar
  2. Click Add Customer
  3. Fill in the customer details:
    • Company Name: The business name
    • Contact Name: Your primary contact person
    • Email: Where quotes will be sent (required)
    • Phone: Contact number (optional)
    • Address: Billing/shipping address (optional)
  4. Click Save

You can also create customers on the fly while building a quote — just enter a name and email in the customer selector.

Customer Details

Each customer record includes:

  • Contact information — Name, email, phone, address
  • Internal notes — Notes your team can reference (not visible to customers)
  • Preferred currency — Set a preferred currency for each customer, used as the default when creating quotes for them
  • Preferred language — Set a preferred language for document generation, so quote PDFs are produced in the language your customer expects
  • Quote history — See all quotes associated with this customer
  • Custom fields — Track industry-specific information with configurable field templates

Custom Fields

Admins can define custom fields for your organization:

  • Data types: text, textarea, number, select, date, email, phone, URL
  • Control which roles can edit each field
  • Choose which fields appear in lists and on quotes

Finding Customers

As your customer list grows:

  • Search — Type any part of the company or contact name

Importing Customers

Have an existing customer list? Import it from CSV or Excel (.xlsx):

  1. Go to SettingsImport
  2. Select Customers
  3. Upload your CSV or Excel file
  4. Map your columns to Quotejam fields
  5. Review and confirm

Both company name and email are required for each imported customer. See Import Guide for detailed instructions.

Role-Based Customer Access

Customer visibility depends on your role:

Tips for Customer Management

  • Keep contact info current — Avoids bounced quote emails
  • Use notes — Record preferences, payment history, or special requirements
  • Assign customers to reps — Ensures the right person sees the right customers
